1. Data controller

2. What data we process and why

When enquiring, we process your name, email, phone, data on the number and location of properties, selected needs and your optional message. Name, email, phone, number and location of properties and the selected type of help are necessary so that we can understand the enquiry, contact you and prepare the next step. If you do not provide this data, we cannot process the enquiry via the form. The purpose is to respond, prepare for a talk and implement measures before concluding a contract (GDPR 6(1)(b)) or our legitimate interest in handling business communication (6(1)(f)).

When applying for a job, the marked contact data, answers and CV are required for processing. Without them, we cannot substantively evaluate the application or contact you. Other data is provided voluntarily. Processing takes place to carry out the recruitment process at your request and to fulfil legal obligations. We do not use the data for marketing without a separate legal basis.

3. Website and measurements

During essential operation, the server receives standard technical data such as IP address, request time, requested address and browser data for security, troubleshooting and service protection. We perform pseudonymous measurements of visits and form progress only with your consent to analytics. Meta and OpenAI advertising measurements are only loaded after consent to marketing.

4. Recipients

For hosting and operating the site we use the Lovable platform, for the database and private storage of CVs the Supabase service, and for sending internal notifications Resend. These providers process data for BIVO only to the extent necessary to perform their services. After consent to marketing, Meta and OpenAI may also receive data about visits and events. Their own processing is described in their privacy notices. We do not sell data and do not claim that the same processing location or transfer mechanism applies to all providers.

5. Retention

We store enquiries based on the duration of processing, further negotiation and a reasonable need to prove communication. If a business relationship arises, we retain relevant data according to the periods applicable to contractual, tax and accounting documentation. Job applications are stored until the selection is complete and then for as long as is reasonably necessary due to potential claims; for future opportunities we store them longer only on another valid legal basis. Periods are assessed based on purpose, legal deadlines, open claims and the need for security, not on the basis of promised automatic deletion. 6. Automated decision-making

BIVO does not make exclusively automated decisions based on the data from these forms that would have legal or similarly significant effects for the individual. Enquiries and job applications are reviewed by a person.

7. Your rights

You can request access, correction, deletion, restriction of processing, portability and object to processing based on legitimate interest. You can withdraw your consent at any time in the privacy settings, without affecting the legality of past processing. If you believe the processing was incorrect, you can lodge a complaint with the Information Commissioner of the Republic of Slovenia.

8. Security and changes

We use reasonable organisational and technical measures, including access restriction, encrypted transmission and protection of public forms. No online transmission or storage is without risk. We will update this notice when purposes, providers or legal requirements change significantly.
